Course Reserve: Making Class Materials Available in the Library


This document explains the procedures for placing books, articles, videos, and other items on Library reserve. Every request to place materials on reserve must be accompanied by:

a copy of the Reserve Request Form (PDF file)

or you may use our online form.

Requests or questions about reserve items should be sent to Joanne Howard, Reserves Coordinator (727-3225 or howardjk@muohio.edu). Request forms and reserve materials may also be left with a library staff member at the front desk at any time.

How Students Access Materials on Reserve
Reserve materials (except for Electronic Reserve items) are kept at the Library's front desk and may be checked out to students with a current Miami ID. Students may make copies of reserve items using the photocopiers located near the front desk. Videos, DVDs, and other media items may be played using the equipment located in the Library's Instructional Media Center or on the carrels nearby.

Options for Placing Reserve Items
  • 2 Hour – Items are checked out for two hours of use. Overdue fines are $2.50 for the first hour and $.75 for each additional hour that the item is overdue.

  • 1 Day – Items may be checked out at any time during the day and must be returned during library hours the following day. Overdue fines are $2.50 per day.

  • 3 Day – Items may be checked out for a period of three days. Overdue fines are $2.50 per day.

  • Electronic Reserve – The libraries will scan your course readings into PDF format and make them available on the Miami University Libraries site (see http://www.lib.muohio.edu/reserves/). Students can then view and print the readings from any computer with Internet access and with Adobe Acrobat Reader installed. Faculty may submit documents in either print or electronic format.

    Please be sure to assign a password to your Electronic Reserve readings. This password is required for the reserve items to conform to copyright law restrictions in that the readings will only be available to students enrolled in your class. Library staff members do not have access to this password, so please be sure to provide it to your students when you assign the readings.

    If you placed an item on Electronic Reserve for a previous course, you do not need to resubmit the original item to have it added again. Please provide us with the previous course number and semester that you used the reading, along with the title of the document, and we will link the document to your current course.
Preparation Time Needed to Place Items on Reserve
The Gardner-Harvey Library will accept items to be placed on reserve at any time before or during a semester. As with many services, the sooner you provide us with your items, the sooner they will be ready for student use. During the first two weeks of a semester, please allow a full week for us to place multiple items on reserve for you (particularly Electronic Reserve items). After that point in the semester, we can generally add materials to reserve within two to four business days.

Checking Your Reserve List
At any time you may check the Library catalog to see what items are on reserve in your name. To see both your print, media, and electronic reserves in a single list, go to http://www.lib.muohio.edu/reserves/ and click on search by Instructor Name under All Reserves. Enter your last name and then your first name to see all course sections and then all reserve items you have in place. You may also go to the link above and select the drop down arrow by “Select a professor” to see your Electronic Reserve items. Please contact us immediately if you believe a reserve item is incorrectly included or omitted.

Library staff can determine how many times a particular item has been used. If at any time during the semester you would like this information, please feel free to contact us.

Removing Materials from Reserve
Copyright law prohibits the Gardner-Harvey Library from retaining copyrighted materials on reserve when they are not in specific course use. Faculty members will be sent a list of their reserve items at the end of each semester and given the opportunity to indicate which items should remain on reserve for the following semester. All other reserve materials will be removed. Personal copies of books, folders, and other media will be returned to you via campus mail. These items will have barcodes and labels attached to them. If you plan to place these items on reserve at a later date, please leave the label and barcode intact to expedite future processing. Library materials will return to the collection. You may also remove reserve items at any time during the semester.

Copyright Compliance
Most published materials (journal articles, book chapters, solutions manuals, videos, etc.) are protected by copyright law. The Fair Use provisions of Section 107 of the Copyright Act of 1976 allow you to place materials on library reserve for educational purposes. The Gardner-Harvey Library requires that you acknowledge our joint compliance with the law by signing the Copyright Acknowledgement Statement at the top of the Reserve Request Form (PDF file) or by submitting the online form.
